Holleyfest Planners Meeting
January 17, 2004
Holley Mountain Airpark

"Warehouse Loft"

Several key decisions were made for Holleyfest 2004.

The thumbnail is that lunch was great (see photos, below), the folks who ate it were happy and we got a lot done. The medium-length version goes like this:

John Oakland and Joe Marshall beneficently acquiesced to serve as our Event Coordinator and Co-Coordinator this year.

David Maier and Keith Wingad will be refining the process we use to register pilots and planes as they arrive and track/tabulate registration information for awards.

Walt Petersen will ensure that someone is always available at the UNICOM during Holleyfest activity times before and/or after the Temporary Control Tower is operational.

Jim Collom will write a letter to the FAA Southwest Region Headquarters, requesting a Temporary Control Tower and designated fly-in frequency of 118.45mhz, beginning at 8:00 am, Saturday, October 9 through the conclusion of the event.

J.F. Williams will coordinate vehicle parking arrangements.

Local musicians "Steve & Cotton" will be invited to perform "around the campfire" Friday night -- and as I understood it, Keith Wingad is confirming this invitation -- but if I've understood wrong, lemme know and I'll personally follow-up.

Sid King of KGFL/KHPQ Radio will be invited to tell the tale of the Damascus Missile Crisis which he personally witnessed, and Jim Collom is confirming this.

Jim Collom and Christine Weiss are making arrangements with vendors for Saturday’s catered lunch, some type of Friday night meal and also for breakfast to be available Saturday morning. They are also organizing the educational program and confirming speakers/presenters. No decision has been made about who to invite as Saturday's keynote speaker and suggestions are welcome.

A strong desire was expressed to have some type of entertaining activity available for youngsters during the event. A "climbing wall" and/or a "bounce house" were suggested. EVERYONE is encouraged to look into this and email Christine about vendor availability. (Note: A bounce house may be purchased outright for $1500 >> $20,000, see: Inflatable Depot for examples.)

The "theme" of the event this year is "Being a Good Neighbor is Good for Our Community!" -- or something like that. That is, if you have a unique phrase for expressing this thought, let us know!!!

In addition, the following topics were generally discussed:

<> Organizing pre-event set up – including banquet/meeting area, PA and audio/video systems, registration booth, mapping of activities area and orchestrating a “visitor traffic flow” pattern, and the possibility of holding aviation education programs in "Warehouse Loft."

<> Organizing “safety ensurance” elements of the event -- includes aircraft & vehicle parking.

<> Organizing the “awards” portion of the program – includes selecting and coordinating all “games,” gathering donations of prizes, and set-up of registration process or rules which enable participation and determine winners.

<> Contacting and coordinating set-up of vendors & exhibitors.
