6th Annual Holleyfest Event Planning & Coordination Master List
As of May 15, 2004, with additions/corrections through May 25 – Subject to Ongoing Refinement

Preliminary / Ongoing:

  • Theme (“tag-line”) for Holleyfest: Joe Marshall suggested that the new tag line become the permanent tag line for Holleyfest. That is, if the purpose of Holleyfest is the same year after year, then the tag line can be the same. All agreed. Thus Joe Marshall, Keith Wingad and Bill Collom will gather and discuss ideas, suggestions, and proposals (from anyone) for an appropriate “tag-line” to communicate the “larger than life” community-minded theme which defines the quality of the annual event with a decision to be made about same by (no later than) July 17. Tag-lines suggested or employed to date include (list may not be comprehensive, please forgive omissions):
    • An Aviation Odyssey
    • Centennial Celebration of Flight
    • Being A Good Neighbor is Good For Our Community
    • Holleyfest: By Your Good Neighbor On The Mountain
    • Flying With Our Community
    • Like A Good Neighbor
    • A Community of Flight
    • Serving Our Community
    • Holleyfest: A Community Service
    • A Part of the Greater Community
       
  • Communicate all tid-bits of information about anything and everything related to Holleyfest (ie: VIP attendees, business sponsorships, in-kind service or prize donations, unique vendors or educational exhibitors, related fundraising activities, etc.) to Christine Weiss for inclusion with promotional announcements.
     
  • Hotel arrangements are, for various educational presenters, being coordinated by the Airpark to ensure sufficient availability. If you have questions about this, contact Christine Weiss.

Holleyfest 2004 – Thursday through Sunday, point by point:

  • Thursday, October 7, all day -- Set-up assembly activities as required, everyone who can is encouraged and welcome to participate. Decision making for specific activities will be coordinated by:
    • Grounds & registration booth set-up: JoAnn Collom & Billy Linn
    • Automobile parking set-up: J.F. Williams
    • Audio/video set-up: Ken Sowers
    • Banquet room set-up: HolleyMountaineers Women’s Guild (aka: "Honeys of Holley Mountain" is an “unofficial” group comprised of all the women who are involved with all the men who are involved with Holley Mountain Airpark. Participation with this group is completely voluntary and self-electing.) For more information contact Judy Archer or JoAnn Collom.
    • Digital Photo Contest: Cheryl Williams & Carolyn Marshall will be the judges.
    • Campfire set-up: Clarence Phillips
       
  • Friday, October 8, DAYTIME – Holleyfest fly-in / camp-out activities begin with scattered arrivals throughout the day.
    • Pilot Registration: David Maier and Keith Wingad will (implement a process to) register pilots and planes as they arrive and track/tabulate registration information for awards. Christine Weiss will:
      • Ensure that early (online) registrations are smoothly integrated with onsite check-in and tabulation.
      • Refine online registration form to match form to be used onsite.
      • Include [checkbox] questions, re: “How did you hear about us?” and “Would you like to participate in the PACE program?”
    • UNICOM during Holleyfest: Walt Petersen will ensure that someone is always available at the UNICOM during Holleyfest activity times before and/or after the Temporary Control Tower is operational.
    • Aircraft parking: Will Dawson and the crew from Dawson Aircraft will direct aircraft parking.
    • Vendors (food, crafts, games, etc.): Bill Collom will invite and network with various vendors to provide food service availability for Friday dinner, Saturday breakfast and to cater the keynote luncheon, coordinate vendor registration, oversee booth set-up, and devise an appropriate “booth space rental” policy.
    • Door prizes, awards and exhibitors: Joe Marshall, Eric Archer and others will contact various aviation organizations with an invitation to host an educational exhibit and/or sponsor/donate a doorprize or award. Christine Weiss will keep a master list of who is contacting whom so to ensure that each potential donor is contacted by only one volunteer.
    • Special activities for youngsters (ie: a "climbing wall" and/or a "bounce house"): Cheryl Williams will check into availability through a business known to her.
       
  • Friday, October 8, AFTERNOON & EVENING – Some vendor booths open, campsite set-up in progress, campfire activities begin at dusk.
    • Who will oversee campsite set-up?
    • Camping is permitted through Monday. Extended camping may be possible by special arrangements with Jim & JoAnn Collom
    • "Steve & Cotton" to perform "around the campfire" Friday night, arrangements confirmed by Keith Wingad.
    • Campfire: Clarence Phillips is in charge of campfire set-up and will oversee campfire tending responsibilities.
    • Storytelling session: Jim Collom, Keith Wingad and Mac McFarlin will take the lead hosting the “tall tales around the campfire” storytelling session. Sid King of KGFL-KHPQ has been invited to tell the tale of the Damascus Missile Crisis.
       
  • Saturday, October 9, ALL DAY – Holleyfest agenda in full swing, 8:00am to 4:00pm.
    • Educational agenda, 8:00am to 11:00am: Jim Collom & Christine Weiss
      • Wings Safety Program: Mac McFarlin (confirmed)
      • Jonesboro AFSS: Joseph T. Calamita (confirmed)
      • AirEvac: (invited)
      • VBC Rescue: Keith Parish (confirmed)
    • Presentation agenda, 11:30am to 12noon:
      • General Karen Smorol (501-723-8190) and the award winning Ladies Auxiliary VFW District 6 Color Guard.
      • Invocation: Keith Wingad
      • Event Dedication: Greg Smith
    • Fire Station Dedication (time to be appointed): Jim Collom
      • Dedication is to take place on location, at the Fire Station
    • Keynote speaker possibilities include:
      • Lt. Gov. Win Rockefeller (invited)
      • John Knight of the Arkansas Aeronautics Commission (invited)
      • Don Richardson (confirmed)
      • Ed Buckner (to be invited by Christine)
    • Yard games: Horseshoe pitching (Doug Davidson), volleyball, and other similar activities will be available, set-up by various volunteers.
    • Presentation of Awards: Cheryl Williams will coordinate the Awards Ceremony.
